Multifactor Authentication (MFA) refers to any security standard that uses multiple factors to identify a user. For example, MFA requires a push notification from an app, a text message, or entering 6-digit code.
MBTS utilizes MFA for its Student and Staff accounts in various systems. These include:
- Microsoft 365 (this includes Outlook, Teams, SharePoint, etc.)
- Canvas
- Remote CAMS
The following instructions will walk you through the initial set-up procedure.
Recommendations:
- During the MFA setup process, you will be prompted to enter two methods to be used as the authentication factors. We recommend selecting “Mobile app” as one, using the free Microsoft Authenticator app on your mobile phone.
- To install it, visit https://www.microsoft.com/en-us/security/mobile-authenticator-app
- MBTS recommends using the Outlook app on your mobile devices and on your Mac or PC. Outlook is the native app for Office 365 and all MBTS systems are designed to work best with Outlook.
- As a student or faculty/staff member, you can install Office 365 on up to 5 personal computers at no cost. The Outlook app is free for both Android and Apple products.
Initial Setup:
- Open a web browser on your computer.
- Go to https://sso.mbts.edu. Then, sign in with your MBTS email address.
- Note: If you do not know your password and have not already configured MFA and Self-Service Password Reset, please contact the MBTS Helpdesk by emailing helpdesk@mbts.edu.
- Note: If you have already setup MFA and Self-Service Password Reset and simply need to change your password, visit https://passwordreset.microsoftonline.com/.
- After you successfully log-into the mbts.edu domain, the log-in screen will say, “More information required.” Click “Next”.
- Both Microsoft and MBTS recommend using the Microsoft Authenticator app.
- On the first screen, click the link to install the app if you haven’t already.
- Click “Next”.
- If you prefer to use a cell phone for text or call verification, you may select the “I want to set up a different method” link at the bottom of the page.
- Once the app is installed, click “Next.”
- You should now see the following screen.
- In your Microsoft Authenticator app, Click the “+” to add a new account, then select “Work or school account” and select the “Scan QR code” option.
- Scan the QR code generated on your computer and complete the set up on your phone.
- Once the account is added to your app, it should prompt you for an approval. Approve the request to move on.
- Next, set up a phone number as a backup method.
- Enter your phone number. Then, select “Next”.

You will be sent a code in a text message. Enter the code. Click “Next”.
Backup and Restore Microsoft Authenticator Account to New Devices
* To backup and restore your Microsoft Authenticator accounts, you must have a personal Microsoft account connected to your account.
How to back up and restore account credentials in Microsoft Authenticator
If you are unable to follow the above link to restore, add your new device to your account using one of the below methods:
1. Contact the IT department (helpdesk@mbts.edu) and request your MFA methods to be reset.
2. Add MFA account(s) manually:
- Log into portal.office.com with your MBTS account credentials.
- Click Update Info under the security section.
- Click Add Sign-In Method. Then, click Authenticator app.
- Follow the on-screen instructions to setup your new device's Authenticator App:
- In your Microsoft Authenticator app, Click the “+” to add a new account. Then, select “Work or school account.” Also, select the “Scan QR code” option.
- Scan the QR code generated on your computer. Then, complete the set up on your phone.
- Once the account is added to your app, it will send you an approval request. Approve the request.
Please note:
- MBTS recommends using the Outlook app on all devices. Outlook is the native app for Office 365; all MBTS systems are designed to work best with Outlook.

- MBTS recommends that you use the Microsoft Authenticator app for two-factor authentication.

- Note: There are many other apps with “Authenticator” in the app title. Please make sure that you select the app titled “Microsoft Authenticator”.
